This, in turn, begs the question of how Artificial Intelligence (AI) may influence this aspect of writing. AI, as we know it, may be described as a technology or system capable of performing and automating complex tasks that were initially only performed by humans. In this article, we will look at how AI affects technical writing, either positively or otherwise.

Brief History of Artificial Intelligence and Its Adoption in Writing

The emergence of modern AI can be traced back to philosophers who tried to describe the human thinking process as the mechanical manipulation of symbols. In the 1940s, a machine based on the abstract essence of mathematical reasoning called the programmable digital computer was invented.

This machine and its ideas inspired numerous scientists to begin exploring the possibility of building an “electronic brain”. However, it wasn’t until 2007 that AI was applied to online writing, such as StatSheet, a content created for sports statistics. Subsequently, in 2009, the Grammarly writing assistant emerged.

Since then, intensive work has been done to give AI the ability to write like humans. To a large extent, this has been successful now that AI writing tools can write for you. Today, AI writers can write you blog posts, business copies, social media posts, web landing pages, product descriptions, and the like.

These AI writers carry out this operation by scanning, finding, and taking available content on the internet and combining it into one piece. Although it is imperfect, AI writers can provide content written in different styles and tones, provided certain guidelines are provided. To summarise, AI still needs humans in the sense that keywords and questions provided by humans are required to generate meaningful content.

How does AI influence Technical Writing?

AI, like in every other field, has impacted and continues to impact technical writing in numerous ways. AI helps technical writers generate content, assisting in creating clear and concise documents. With that said, AI also presents technical writers with many challenges. Some of these include context issues, accuracy issues, and lack of human touch or emotion in the content generated, and technical writers must navigate these problems so as to leverage AI to achieve their goals.

Technical writing is a method employed to convey complex information to users easily and simply. AI today makes the process of research quite easy for technical writers, and it also helps to structure content in the sense that it can check for syntax errors, punctuation errors, and other grammatical problems. Technical writing processes such as content idea generation, proofreading or editing, and even writing drafts can now be automated. This, in turn, gives room for technical writers to be more productive by focusing on higher-level tasks like strategy.

Benefits of AI in Technical Writing

For example, Grammarly is an AI-based tool that technical writers have widely adopted as it helps in fixing grammatical issues ranging from syntax errors to the wrong usage of punctuation marks. This tool further gives suggestions on how to rephrase a sentence and how to rewrite in active voice, a very important rule in technical writing, amongst other solutions it provides.

Challenges AI poses to Technical Writing

While Artificial Intelligence in technical writing presents a lot of positives, it’s not without its problems. One of the major issues with AI in the writing space is that it will render technical writers obsolete. To elaborate, AI-generated content may likely duplicate passages from already existing documents without adequate referencing, leading to plagiarism concerns. As a result, careful checking and balancing of the use of AI in technical writing is very important so as to uphold ethical standards.

  • Lack of Human Touch or Personalization: Another problem that comes with the use of AI in technical writing is the lack of human touch. Content generated by AI lacks human perspective; it also does not understand individual sentiments or preferences. It is impossible for these AI tools to know your specific audience, their personalized needs, sentiments, biases, or background. Therefore, they cannot develop content that aligns with the end users since they do not know how the end user “feels,” unlike humans who can incorporate industry-specific jargon or even tailor the content to the particular company, which results in a lively document and makes it easy for employees or users to understand it.

  • Data quality: Another issue that may negatively impact the use of AI in technical writing is Data quality. Technical writers must ensure that data quality data is fed to the AI systems. Data quality describes the accuracy, completeness, consistency, and relevance of data. In a situation where poor data is fed into the AI system, this can lead to inaccurate, incomplete, inconsistent, and irrelevant output from the system, which subsequently damages the credibility and usability of the technical documents. To ensure data quality, technical writers must adhere to data governance best practices, such as defining data sources, standards, and policies, and validating and cleaning data while monitoring and auditing data quality.

AI greatly affects technical writing both in positive and negative ways. AI is a valuable asset for technical writers as it provides adequate assistance in the writing process. However, it also poses certain challenges that, if not properly navigated, can jeopardize the work of writers.

Looking into the future, it is clear that AI will continue to play a big role in the field of technical writing, with the next wave of innovation already in the pipeline, from content optimization tools to algorithms capable of generating complex but concise drafts. However, as these tools become more advanced, the need for data quality and ethical considerations will also increase.

We should also anticipate a change in the role of technical writers. More than merely being writers who come up with technical content, technical writers will grow into guardians and quality controllers responsible for supervising AI tools so as to guarantee they meet the standard expected in technical documentation.
